Booking & Confirmation

• All bookings must be confirmed in writing via WhatsApp, email, or our booking form.
• A booking is only confirmed upon receipt of the required advance payment.
• Heladiva Travel reserves the right to decline any booking at our discretion.
• Tour itineraries are subject to change due to weather, road conditions, or unforeseen circumstances. Equivalent alternatives will be arranged where possible.

Payment Terms

• 50% advance payment is required upon confirmation of the booking.
• Remaining 50% must be settled 14 days prior to the travel date.
• For bookings made within 14 days of arrival, full payment is required at time of confirmation.
• Payments accepted via bank transfer, credit/debit card, or cash (local currency).
• All applicable bank charges and transaction fees are to be borne by the client.

Transportation & Fleet

• All transfers and tours are conducted in Heladiva Travel's own vehicles or subcontracted, fully licensed vehicles.
• Vehicle type is subject to availability; we reserve the right to substitute with an equivalent or superior vehicle.
• Passengers must wear seatbelts at all times where fitted.
• Heladiva Travel is not liable for delays caused by traffic, road closures, weather, or other events beyond our control.

Accommodation & Activities

• Hotel check-in is typically 14:00 hrs and check-out is 12:00 hrs. Early/late arrangements are subject to availability and may incur extra cost.
• Heladiva Travel acts as an agent for accommodation and third-party activity providers; we are not responsible for the quality, safety, or conduct of these providers.
• Entrance fees, meals not mentioned in the itinerary, and personal expenses are excluded unless stated otherwise.

Client Responsibilities

• Clients are responsible for ensuring valid travel documents, visas, and travel insurance before arrival.
• Any medical conditions, dietary requirements, or special needs must be disclosed at the time of booking.
• Clients are expected to behave respectfully toward guides, drivers, and local communities.
• Heladiva Travel reserves the right to terminate a tour without refund if a client's behaviour is deemed unsafe, offensive, or disruptive.

Liability & Disclaimer

Governing Law

These terms are governed by the laws of the Democratic Socialist Republic of Sri Lanka. Any disputes shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
